INTRODUCTION

This Privacy Policy has been set out in accordance with the General Data Protection Regulations (GDPR), which came into effect on May 25th 2018. The purpose of this document is to fully explain what personal data Angus Centre for Performing Arts (ACPA) collects from you when you use our services or interact with us, as well as how we process and use this information. 

 

You have the right to know exactly what data we hold about you, to change the data we hold about you or to ‘opt-out’ of specific data holding or direct marketing at any time. If you have any queries please contact anguscentreforperformingarts@hotmail.co.uk.

 

Please note that in order to provide our services it is necessary that we hold some specific data. If you do decide to opt-out of certain items, you may be unable to access some or all of our services. Please thoroughly read this document to ensure you fully understand our policy.

LEGAL BASES FOR COLLECTING DATA

There are a number of reasons which have been set out under data protection law which allow a company to collect personal information. The legal bases which are relevant to ACPA are outlined below to help you fully understand why we collect your information.

 

  • Consent; we may collect data if the client has given us positive consent to do so. For example, if you sign a consent form or tick an ‘opt-in’ box.

  • Contractual obligation; we may collect data if it is necessary to do so in order to allow us to fulfil our contract with you. For example, in order for us to provide our services we must have your contact information in case of an emergency.

  • Legitimate Interests; we may collect data if it is in the best interests of providing the correct service to a client. For example, we may collect data which helps us sort your child in to the most suitable class for them.

  • Legal obligation; we may collect data where it is necessary to help us comply with the law. For example, we may need to pass information onto the police should a client be subject to criminal activity.

WHEN DO WE COLLECT YOUR DATA?

  • When you book a class for yourself or a family member.

  • When you book another service through us such as a birthday party or holiday camp.

  • When you hire the ACPA premises.

  • When you contact us with either a query or complaint via telephone, email, social media or in person.

  • When you complete any online forms such as online class registering or contact via our website.

  • When you complete any surveys or questionnaires for ACPA.

  • When yourself or your child wishes to take part in a competition, exam or school trip.

  • When you buy merchandise from The Dance Shop located inside the ACPA studio.

WHAT DATA DO WE COLLECT AND WHY?


All information collected by Angus Centre for Performing Arts is for internal use and will only be collected where necessary. All data is securely stored for only as long as it is required or for the legal retention period. If you would like to remove any data you are welcome to do so at any time. All personal data is removed safely and securely.

When you sign up for classes or any other service at ACPA we will request the following information;

  • Your full name

  • Your home address

  • Your telephone number

  • Your email address

  • Emergency contact number(s)

We will also request the following information for your child (if applicable, for under 18s);

  • Full name

  • Date of birth

  • Gender

  • School year

  • Notable medical or additional learning support information

​

Information about yourself and your child (if applicable) allows us to do the following;

  • Place your child in the correct class.

  • To know of any treatments which must be administered if required for a medical condition.

  • To provide the correct level of additional learning support in class if required.

  • Enter your child into any exams, competitions or events which you have consented to.

  • To carry out administrative tasks such as invoicing, notifying of overdue payments and sending out important information such as class changes.

  • To contact you in an emergency.

We will also ask the following permissions depending what services you have signed up for;

  • Consent to contact you with regards to any class/rehearsal information or reminders which are relevant to you/your child for any services you have signed up for.

  • Consent to contact you with any marketing information which we feel may be of interest to you/your child.

  • Consent to take photographs/video footage during classes, holiday camps and events.

  • Consent to publish photographs/video footage, with or without names, in the newspaper, on our website, marketing material or social media to acknowledge student achievements/studio events, and to show both current and potential students what we do at ACPA.

Please note that you do not have to agree to yourself/your child being photographed or videoed, but this may mean you/your child cannot take part in certain ACPA events and activities e.g. events where the public media are present or the evening of our annual showcase where a videographer is present.

​

Sometimes we may need to share your information with third parties such as bbodance or competition organisers to register your child for an exam, competition or event. We will never share your information with any third party without your express written consent.

SOCIAL MEDIA USAGE

​

As a parent or student you can also, at your own discretion and responsibility, join any Facebook/Instagram/WhatsApp group or page that is created by Angus Centre for Performing Arts. By doing so, you accept that you are wilfully sharing your own personal data on an ACPA associated group or page that is either publicly viewable or viewable to other private group members through:

  • Sharing your name (via your Facebook/Instagram username) 

  • Sharing your image (via a profile photograph of yourself) 

  • Sharing any other personally identifiable data yourself, wilfully

We do not recommend sharing sensitive data (like addresses, phone numbers, medical records or bank details) this way due to discrepancies and risks in social media security. We recommend that you email any personal/sensitive data instead. Angus Centre for Performing Arts are not responsible for any information shared wilfully by clients over social media, by using these platforms you do so at your own discretion and awareness of the potential risks of sharing such data on the above stated sites.

DIRECT MARKETING

Angus Centre for Performing Arts will only ever contact you for marketing purposes if you have given consent for us to do so. We will only ever send you relevant information which we feel you may be genuinely interested in.

Should you like to opt-out of this at any time you are more than welcome to do so. Please note however that this would mean you will only receive information relevant to the classes/services you already attend and would therefore not receive any information about new classes, holiday workshops or extra opportunities/events.
